VOLUNTEER REGULATIONS
Kraków Photomonth 2026
I. General Provisions
1. The volunteer programme participant undertakes tasks related to the
fulfilment of the Organiser’s mission, the promotion of the event, and
the support of the coordinating team’s work.
2. All activities carried out as part of the volunteer programme during the
23rd Kraków Photomonth are unpaid.
3. Volunteers are expected to act with selflessness, kindness, and a
willingness to provide information to guests and participants of events
held by Kraków Photomonth.
4. Facebook account holders may be invited to join a closed
communication group dedicated to volunteers. This group serves as
one of the organisational communication channels and as a space for
exchanging information related to the execution of tasks.
5. Upon completion of the cooperation, volunteers may be asked to
participate in an evaluation of volunteer activities. The purpose of this
evaluation is to support the development of the Festival and improve
working conditions and organisational processes.
II. Basic Responsibilities within the Volunteer Programme
Volunteers are required to perform assigned tasks to the best of their
abilities, with due diligence, and in accordance with the guidelines and
instructions provided by the volunteer coordination team. The scope of
tasks and working arrangements are determined in agreement with the
coordination team.
2. Volunteers on duty at exhibitions are required to familiarise themselves
with the exhibition operating procedures and rules for using the space,
as well as with basic information regarding the artist’s work and the
exhibition on display, so that they can provide visitors with basic
information.
3. Volunteers are required to familiarise themselves with the schedule of
events accompanying the exhibitions in order to provide visitors with
basic organisational information.
4. Volunteers indicate their availability by specifying the days and times
when they are able to carry out their assigned tasks. Based on the
availability provided, the volunteer coordination team prepares a rota.
5. If a volunteer is unable to attend a previously agreed shift, they are
required to inform the volunteer coordination team as early as possible
in order to allow for replacement arrangements.
6. The volunteer coordination team may contact volunteers by telephone
or text message regarding organisational matters, in particular to
remind them of their shift or to provide updates.
7. Volunteers using materials or equipment belonging to the Organiser,
collaborators, or Festival partners are required to use them in accordance
with their intended purpose and the instructions provided.
8. During the performance of volunteer duties, it is prohibited to be under
the influence of alcohol or other intoxicating substances.
9. While carrying out volunteer duties, volunteers must wear the
identification badge provided by the Organiser.
III. Rights of Volunteers
Volunteers have the opportunity to develop their interests and skills
while carrying out assigned tasks. The Organiser makes every effort to
enable volunteers to gain new experience and competencies.
2. A volunteer has the right to refuse to perform a task if it conflicts with
their beliefs, religion, or worldview. Such situations should be reported to
the volunteer coordination team.
3. Volunteers have the right to submit comments, questions, or concerns
related to their tasks to the coordination team.
4. Upon completion of the cooperation, the Organiser issues a certificate
confirming participation in the volunteer programme. In cases of
exceptional commitment, volunteers may also receive individual
references or a letter of recommendation.
5. As part of the volunteer programme, it is possible to complete student
placements within the number of hours achievable during the event.
Requests to undertake a placement must be submitted to the volunteer
coordination team before the start of activities, together with information
about the required number of hours. After this point,
completion of a placement cannot be guaranteed.
IV. Safety and Responsibility
The Organiser undertakes to provide volunteers with safe and hygienic
working conditions and to supply the necessary information regarding
safety rules applicable within Festival venues.
2. Volunteers are required to comply with safety regulations applicable at
event locations and to follow the instructions of the coordination team
in organisational situations or those requiring the safety of participants.
3. In the event of a potentially dangerous situation, accident, or incident
posing a risk to health or safety, the volunteer must immediately inform
the volunteer coordination team or a member of the Organiser’s team.
4. Volunteers are required to take care of entrusted materials, equipment,
and exhibition spaces. Any damage or irregularities must be reported
immediately to the coordination team.
5. The Organiser is not responsible for personal belongings left
unattended within Festival spaces.
V. Termination of Volunteer Cooperation
Participation in the volunteer programme may be terminated at any
time by the volunteer, provided that the volunteer coordination team is
informed in advance.
2. The Organiser reserves the right to terminate cooperation in the event
of a serious breach of these regulations, in particular in situations
endangering the safety of event participants, the organisational team,
or others.
3. Cooperation may also be terminated in the case of repeated failure to
attend scheduled shifts without prior notice to the coordination team, or
failure to fulfil assigned duties.
4. Termination of volunteer cooperation does not affect the possibility of
receiving a certificate confirming participation to date, provided that
previously agreed tasks have been completed.
